A spreadsheet is not the enemy
Spreadsheets are excellent for exploration, small lists and flexible analysis. The problem begins when one file becomes the operational system for many people, approvals and sensitive records.
Look for operational warning signs
The strongest signals are not file size; they are loss of control and repeated manual coordination.
- Multiple copies contain different answers
- People overwrite formulas or important history
- Permissions depend on who received the file
- Approvals happen in chat with no reliable audit trail
- Reports require repeated copy-and-paste work
- One unavailable person blocks the process
Define the workflow before building
Do not reproduce every spreadsheet column in software. First identify the record, its states, allowed actions, roles, exceptions and completion evidence. This produces a smaller and more maintainable application.
Migrate in controlled phases
Start with one important workflow and a verified data import. Run reconciliation reports, preserve the original source, train users and define rollback. Add automation only after the basic record and permissions are dependable.
